This position offers an opportunity to work collaboratively with the current Marketing Director, with an expected transition into the Marketing Director role within the next two to three years.

 

The Assistant Marketing Director Will:

  • Prepare and develop proposals to ensure compliance with RFP/RFQ requirements.
  • Work with technical staff to develop proposal sections and scopes of work.
  • Track and monitor proposal efforts and activities, ensuring timely delivery.
  • Liaise with partnering AEC firms to ensure that all materials are integrated for joint pursuits.
  • Assist with preparation of slides for shortlist presentations and miscellaneous non-proposal-related public speaking opportunities.
  • Create and update marketing collateral, such as case studies, resumes, firm descriptions, and posters.
  • Work with the rest of the marketing team to establish goals and priorities and track progress.
  • Utilize Deltek Vantagepoint database to maintain company and contact information, and to research information for marketing collateral updates.
  • Prepare and submit periodic validation information for third-party safety and insurance verification sites such as Avetta and ISNetworld, as well as individual clients’ vendor qualification tools/sites.
  • Coordinate entries for periodic awards programs, notably ASHRAE’s state, regional, and society-level awards.
  • Assist in coordinating some events, which may be client-facing or employee-oriented events.
  • Assist in coordinating annual client gift/holiday card program.
  • Assist the Marketing Communications and Design Manager as needed with updating website content and social media.
  • May also perform special projects and other reasonable business-related duties as requested and delegated by the Marketing Director or Principals.

Qualifications

What You Will Need to Succeed

  • Bachelor’s degree in marketing, communications, journalism, English, business or related discipline from a four-year college or university.
  • At least five to 10 years of proposal management or coordination experience in the AEC industry.
  • Strong proficiency with the MS Office suite, particularly Word and PowerPoint.
  • Intermediate proficiency with Adobe InDesign.
  • Ability to synthesize and distill information through clear, careful writing and strong proofreading skills.
  • Excellent multi-tasking ability. The Marketing Proposal Manager must be able to handle multiple tasks simultaneously and to prioritize deadlines.
  • Reliability, enthusiasm, and a collaborative mindset.

What Will Set You Apart

  • Experience with WordPress websites, including the Divi design framework.
  • Experience with government procurement forms, notably the SF330.
  • Experience with typical AEC procurement websites, such as Primavera Unifier, Workday/Scout RFP, E-Builder, and BuildingConnected.
  • Experience with third-party safety/insurance verification websites, such as ISNetworld, Avetta, and GRMS.
  • Knowledge of Deltek Vision, Vantagepoint, or another CRM and asset management database.
  • Knowledge of Adobe Photoshop and Illustrator.
